JOB DESCRIPTION
Job Title: Personal Assistant
Report to: CEO

JOB SUMMARY:
To provide full secretarial and administrative support to the CEO of the Commonwealth Telecommunications Organisation

MAIN AREAS OF RESPONSIBILITY:
This diverse role in an international organisation is to provide full support for the CEO, who has a very busy diary and travels frequently. Considerable responsibility and sound judgement are required. The post reports directly to the CEO.
-  Management of the CEO’s diary and appointments
-  Help CEO manage output, workflow and office deadlines
-  Take and relay accurate and timely messages from telephone callers, and answer queries where possible
-  Collect and open all hard copy mail addressed to the CEO
-  Manage the CEO’s e-mails.
-  Take minutes at all meetings in which CEO is involved
-  Draft, type and dispatch all the CEO’s correspondence
-  Liaise with relevant individuals and external organisations to arrange meetings, prepare agendas and draft minutes
-  Maintain a comprehensive filing system
-  Co-ordinate CEO’s travel in conjunction with in-house logistic Staff
-  Tabulate and retrieve CEO’s official expenditures and claims
-  Arrange local transportation when necessary
-  Small amount of personal work
-  Some research, media relations and promotional work
-  General administration tasks
-  Some support for the CTO’s Directors as may be required
-  Undertake any other duties as requested by the CEO

REQUIRED SKILLS:
-  Ideally educated to degree level (A’ level education considered)
-  Excellent written and spoken English
-  A minimum of four years PA/secretarial experience at an appropriate level
-  Good computer literacy, speed and accuracy essential (MS Office, Excel, Powerpoint). Knowledge of graphics useful
-  Excellent organisational skills.
-  Professional telephone manner
-  Experience of working within an international environment, ideally for an international organisation, NGO and/or multinational private sector
-  Willingness to work in a multicultural environment
-  Proven ability to work under pressure and to tight deadlines
-  Ability to work well as part of a diverse team
-  Bright, confident personality
-  Well presented
-  Highly personable
-  Flexible and mature approach with ability to work unsupervised

DESIRABLE SKILLS:
-  A 2nd language such as French or Portuguese
-  Shorthand
-  Experience of dealing with different time zones

SALARY: Up to 21,630 PA
